Key Policy
The Department of University Police
in association with our Facilities department, provides access to campus
buildings through a combination of card readers and mechanical locks. This
document covers some of the major policy issues associated with the issuance
of keys and security measures that should be followed.
General Policy
Responsibilities
- The Chief of University Police, in consultation with the Director of Facilities
and the Vice President for Administration, must approve any new or modification
of an existing lock or key system.
Key System Maintenance
- The Chief of University Police, in conjunction with the Chief of Facilities,
is responsible for the issuance, retrieval and control of keys along with
the maintenance of necessary supporting records.
Issuance of Keys
Interior Keys
(Individual Offices)
- Standard Issue
- Any faculty or staff member assigned an official work station may request
relevant interior door keys upon approval of his or her supervisor.
- Exception - Individuals
assigned on a temporary basis to a designated work area, i.e., student
assistants, etc. may request relevant interior door keys upon approval
of appropriate supervisors. The supervisor will be responsible for the
return of the keys.
Exterior Door Keys
There will be no standard issue of exterior door keys.
- Faculty members - SUNY Cards will
be activated for the outside door of the building their office is located
in. SUNY Cards can be activated for entrance into other buildings upon
the approval of appropriate supervisor and endorsement of the Chief
of University Police and the Vice President for Administration.
- Staff members - Upon approval of
the appropriate supervisor and endorsement of the Chief of University
Police, SUNY Cards can be activated for the outside door of the building
their office is in if they are expected to work other than normal building
hours. Keys may be issued for other exterior doors upon valid reason and
approval of appropriate supervisor and endorsement of the Chief of University
Police and Vice President for Administration.
Master Keys
- Standard Issue
- Vice presidents may request a master key upon approval of the President
and endorsement of the Chief of University Police.
- Exception - Any
faculty or staff member assigned to a responsibility which requires access
to all or almost all rooms within a building may request a building master
key upon approval of his or her supervisor and endorsements of the Chief
of University Police and the Vice President for Administration.
Residential Keys
- The VP of Student Affairs, in conjunction with the Director of Facilities and Chief
of University Police, are responsible for the issuance, retrieval and control
of keys along with the maintenance of necessary supporting records.
Procedure
- Complete Key Request Form (PS-1) and forward to the Office of University Police.
Keys may be obtained at the University Police Office. Upon termination
of employment with the college, all keys must be returned to the University
Police Office.
