Cayan Library Interlibrary Loan/Document Delivery Services for Distance Learning Students
Who can use this service?
Distance learning students are defined as students currently enrolled in a SUNYIT online course and living more than 50 miles from the SUNYIT campus. Document delivery services are not available to students attending classes on the SUNYIT campus.
Graduate students working on a final thesis and who are not attending classes on campus are also eligible for services.
What Services are Available for Distance Education Students?
We offer both Interlibrary Loan for items the Cayan Library does not own and a Document Delivery service for items that we own.
At the present time, we provide articles but not books. We do not Interlibrary Loan books for Distance Learning Students. Off-campus students may obtain Cayan Library books by requesting them from the Interlibrary Loan Department of their nearest public library.
If you are requesting an article that the Library does own, when submitting your article request through
ILLIAD, it is helpful to indicate in the notes field: "Cayan Library owns this journal". Make sure that your requests include the entire citation.
The Library will provide:
1. Copies of journal articles, through Interlibrary Loan or Document Delivery
2. Copies of relevant sections of less than 20 pages from reference books owned by Cayan Library
Copies are posted to the library server as a PDF file. You must have Adobe Reader on your computer to read a PDF file. You may download it for free from http://www.adobe.com
Access to each document is available for 30 days and then is automatically deleted from the Library’s server.
How do I make requests?
You must use your SUNYIT email account, for ILL and document delivery services. For instructions see:

After your SUNYIT email account is activated (or SITNet ID), your username and password can be used to open the ILL request form in order to activate an ILLiad Interlibrary Loan account.
Next:
Go to http://www.sunyit.edu/library.
Click on Interlibrary Loan.
Click on Online Interlibrary Loan Request
Enter your SITNet username/password.
Click on "Logon to Illiad".
Register as an Illiad user. You will be asked for the U number. You can find it by viewing your course schedule online. Click on “Student Detail Schedule”. A number starting with U, will appear in the upper right hand corner next to your name. This is a required field. Important: Choose Distance Education as your status. Fill in your complete mailing address and make sure to enter your SUNYIT email address.
You need register for Illiad only once.
Then, enter your ILL request and you will be notified about the status of your request by email.
You now have an account to place requests, check the status of your requests, and receive electronic article deliveries.
Your Distance Education status will expire at the end of each semester. You may reinstate it for another semester by contacting Jackie at the library at 315 792-7250 or jackie@sunyit.edu. Do not create a new ILLiad account.
How much does it cost?
Cayan Library currently provides ILL service free to all our students, and Document Delivery of articles to our Distance Education students, although there is a cost to the library.
Is there a limit to the number of requests I can make?
There is a limit of 15 requests a person may submit per day.
How long does it take?
For document delivery of materials available in the Cayan Library, they are delivered as quickly as staff time allows but usually within 24-48 business hours of receipt of the request. Materials not available in the library are processed as interlibrary loan requests and will be forwarded to you.
How do I receive materials?
Interlibrary loan articles are delivered to our library, by mail, electronically, or by fax. Electronic delivery is dependent on the capabilities of the lending library. Most articles are delivered electronically and you will get an email notification to logon to your account to retrieve them. Journal articles that we receive in photocopy format may be faxed, scanned, or mailed to you and are yours to keep.
How does Copyright Law affect ILL/Document Delivery?
The Copyright Law of the United States (Title 17, US Code) governs the making of photocopies or other reproductions of copyrighted material. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or reproduction. One of these specific conditions is that the photocopy or reproduction is not to be "used for any purpose other than private study, scholarship or research." Libraries are able to provide journal articles to their users because the copyright law makes provision for "fair use" of published materials.
For Interlibrary Loan requests, there are restrictions, however. Libraries are not permitted to request more than 5 articles in a calendar year from a single journal title for its last five years of publication. You are also not allowed to ask for an entire issue of a journal. Document delivery from our own collection is possible because we have already paid for a subscription to the journal.
If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use," that user may be liable for copyright infringement. This institution reserves the right to refuse to accept a copying order if, in its judgement, fulfillment of the order would involve violation of copyright law. (37 C.F.R. 201.14)
