Airfare Policy

State Contract Travel Agency and Air Travel Services

Below are the current contract vendors for our region. Contract vendors should be used unless traveler can obtain better pricing on a comparable ticket.*

These agencies will seek the lowest airfare available for travelers consistent with travel requirements. The New York State contract airfare will be offered for use where applicable. If a state contract flight is not available for your destination city, a flight at the lowest price available will be arranged.

Procedures for Purchasing Airfare

  1. Complete campus Travel Authorization Form (TR-2), stating destination, purpose of travel, account number to be charged, traveler’s signature and authorization of supervisor or department head. If travel is out-of-state, complete the Out-of-State travel portion of the form with appropriate signatures.
  2. Forward (fax or mail) form to the Travel Office. An authorization number will be assigned and the form returned to the traveler.
  3. Contact Albany Travel or Advantage Travel reservations department and identify yourself as an employee of SUNYIT. The travel agent will request your travel authorization number. The travel agency will not make reservations without this authorization number.
  4. Your flight will be charged to SUNYIT’s Citibank Travel Account. The travel agency will email an itinerary to you and the tickets will be issued.
  5. Electronic tickets will be issued whenever possible.
  6. Submit airline tickets and itinerary with Travel Voucher to the Travel Office within 2 weeks of conclusion of trip.

*If you are using a non-contract vendor because better pricing on a comparable ticket was obtained, you still must submit a Travel Authorization Form (TR-2) for out-of-state travel approval. Please write on the form that you will not require a travel authorization number.
